Your Garden Companions CIC is a Community Interest Company (Company No. 17184542) registered in England and Wales. We provide companion gardening and horticultural therapy services to older and less able people across Cumbria, including one-to-one home visits, community group sessions, and care home sessions.
For the purposes of data protection law, Your Garden Companions CIC is the data controller in respect of the personal information we collect and process. Our joint data controllers are Louise Crouch and Tara Booth.

We only collect health information about clients where it is strictly necessary to deliver our service safely and appropriately. - Directly from you — when you contact us to enquire about or sign up for our services, when you complete an intake form, or during sessions themselves.
- From a referrer — such as an NHS Social Prescribing Link Worker, GP, social worker, or care home staff member, who provides your details when making a referral with your knowledge and consent.
- From a family member or carer — where they contact us on your behalf.
- From care home staff — who share relevant information to enable us to support you safely during sessions.
- Automatically — if you visit our website, standard technical data (such as your IP address and browser type) may be collected automatically by our website platform.
We will always tell you what information we need and why before we collect it. We will never collect more information than we need.

When information is no longer needed, it is securely deleted from digital systems and physically destroyed where held in paper form.
7. How We Keep Your Information Safe
We take the security of your personal information seriously. Our measures include:
- Client records are held in password-protected digital files, accessible only to our two directors
- Paper records (where used) are kept in a locked cabinet and not left unattended
- Devices used for client-related work are password-protected and kept up to date with security software
- We do not discuss client information in public places or with people who do not need to know it
- Any third parties who process data on our behalf are bound by data processing agreements requiring them to maintain appropriate security
- In the event of a personal data breach likely to risk harm to individuals, we will notify the Information Commissioner's Office (ICO) within 72 hours

Consent for photography is always separate from consent for services. You will never be disadvantaged in any way for declining to be photographed or to provide a testimonial.

We review this privacy policy annually and following any significant change to our operations or to applicable data protection law. If we make material changes that affect how we use your personal data, we will contact you directly to inform you. This policy was first adopted in May 2026 and is due for review in May 2027.
